Human Resources and Administration Officer (Ref# HRAO181213W)

Key Responsibilities:

  • Perform full spectrum of support for HR functions in the areas of support for recruitment, training and development, benefits management and HRIS
  • Deliver timely and value-added HR services to internal clients to ensure consistent and sound people management
  • Assist with the preparation and monitoring of human resources and administration budgets
  • Handle human resources and administration payment requests, working closely with procurement and finance and accounting
  • Prepare and consolidate monthly HR reports
  • Organise internal staff training and team building activities
  • Implement HR policies and procedures to ensure compliance with business and legal requirements
  • Handle adhoc projects as assigned

Requirements:

  • Degree holder in human resources management or related disciplines
  • Minimum 3 years’ solid experience in human resources and administration, preferably gained with sizeable organisations
  • Knowledge of Hong Kong Employment Ordinance and Occupational Safety and Health Ordinance
  • Good team player, strong interpersonal and communication skills
  • Self-motivated, pro-active, attentive to detail and good organisational skills

Secretary (Ref# HRAS181213W)

Key Responsibilities:

  • Provide secretarial and administrative support to assigned department
  • Maintain the company statutory records and routine filing
  • Provide administrative support including handle business correspondences, presentation materials and other confidential documents
  • Provide full spectrum of secretarial support including daily schedule, meeting management, travel arrangement, hotel booking and concerned follow-up tasks
  • Assist and prepare materials for board meetings and committee meetings
  • Assist different projects ranging from but not limited to business activities and marketing events
  • Perform ad hoc tasks as assigned

Requirements:

  • Diploma and above in Company Secretarial course or with relevant experience is preferred, but not necessary
  • Minimum 4 years relevant working experience

Assistant Manager – Smart-Space Community (Ref# AMSSC181213W)

Key Responsibilities:

  • Build up a close customer relationship with the Smart-Space companies to understand their needs
  • Identify the latest resources as well as services and introduce them to the community
  • Organise events and programmes to facilitate networking and business development for the Smart-Space companies  
  • Responsible for the marketing promotion of Smart-Space activities
  • Explore new channels to enhance communications with the community members
  • Other ad hoc projects as required

Requirements:

  • Degree in Business Management, Communication, Engineering or other related discipline
  • Minimum 6 years’ solid experience in managing marketing projects, preferably with experience in account management 
  • A good understanding of the latest trend in digital technologies, such as E-Commerce, Big Data, AI, IoT etc. 
  • Familiar with digital technologies industry
  • Prior engagement in Innovation and Technology ecosystems is preferable
  • Demonstrated experience in leading cross-team projects to achieve strategic goals
  • Ability to work effectively in a fast-growing and multi-tasking working environment
  • Self-starter and creative thinker who is comfortable with ambiguity; evidence of a strong drive to exceed expectations
  • Effective people management and excellent customer services skills

Programme Coordinator (Ref# PC181204W)

Key Responsibilities:

  • Manage the administration and operation of the Entrepreneurship Centre
  • Assist the Entrepreneurship Team in overseeing the administration and compliance of Incubation Programme
  • Regularly monitor the Incubation Programme in achieving the stated objectives
  • Assist to review and update the programme-related documents, specifications, schedules, policies and procedures
  • Assist with administrative, technical, and professional work related to Incubation Programme including ensuring compliance with the appropriated guidelines, policies and approved internal controls
  • Key person to coordinate with various parties for programme preparation and execution in a timely and professional manner
  • Other duties as assigned

Requirements:

  • University graduate in all disciplines

Project Assistant (Ref# PA181204W)

Key Responsibilities:

The Project Assistant is responsible for supporting the recruitment of Cyberport Creative Micro Fund (CCMF) and Cyberport Incubation Programme (CIP). Major tasks included:

Programme Development

  • Assist to update Programme policies and procedures
  • Assist in development, production and maintenance of promotional materials
  • Handle telephone and email enquiries for programme-related activities and events

Programme Implementation

  • Assist in developing and implementing the recruitment campaigns of the programmes
  • Prepare and maintain summary of programme applications
  • Independently schedule, arrange and handle meeting logistics
  • Review recipients project spending and prepare for payment
  • Assist in coordinating of surveys, review meetings and trainings

Project Budget Monitoring

  • Prepare all purchasing requests and expenses claims for Programmes expenditure

Other Administration Support

  • Update the Centre’s statistical figures periodically
  • Organise and maintain a proper filling system for the programmes
  • Collect necessary data from the recipients, update and maintain the database
  • Composes administrative correspondence and drafts (external and internal) such as memos, letters, reports, presentations, agendas, meeting materials and minutes
  • Other duties as assigned

Requirements:

  • University graduate in all disciplines
  • Minimum 2 years relevant working experience with interest in ICT entrepreneurship and start-up incubation programmes
  • Proficient in written and spoken English, Chinese and Mandarin

Assistant Manager – Compliance & Procurement (Ref# AMC&P181126W)

Key Responsibilities:

  • Support and implement policies, procedures and documentation to ensure full compliance with corporate guidelines
  • Maintain and ensure that the Document Management System (DMS) complies with relevant International Standards
  • Assist in carry out sample audits to ensure compliance with the DMS and identify areas for improvement
  • Provide advice to user departments on procurement procedures and best practices regarding purchasing activities, whilst ensuring compliance with corporate governance and policies
  • Enforces ethical practices in all dealings with suppliers
  • Carry out the overall tender process and relevant tender documentations, including invitation documents, evaluation criteria, contract and assessment reports etc.
  • Assist in analysis, documentation and interpretation of contractual rights and obligations, and ensures Company’s compliance with the contractual terms and conditions.       
  • Work with manager to review any additional or new contract commitments comply with corporate business policies and align with the organizations objectives and delivery capabilities.    
  • Provide advice (including in relation to contractual obligations, pricing and processes, delivery and other commercial or financial risks) in regard to the contract.
  • Assist in regular review of end-to-end processes; identify areas for continuous improvement to ensure operational effectiveness, sufficient control and mitigation of potential risks in all aspects
  • Assist manager to conduct various control assessment and review both internally and externally with auditor and compliance to ensure all issues are completed satisfactorily with concrete action plan for follow-through

Requirements:

  • Bachelor’s degree required, preferably in Business Management
  • Minimum with 5 years’ experience in Contract Management
  • Knowledge of related ordinances and technical and professional practices.
  • Must possess proven project management skills and the ability to solve complex problems. As this position will interface with various internal and external parties, must have excellent communication skills. Position will also require strong business and analytical skills.
  • Good interpersonal and presentational skills
  • Excellent command of written and spoken English and Chinese
  • Pleasant, independent, mature with strong self-motivation

Copywriter (Ref# CW181211W)

Key Responsibilities:

  • Develop, edit and translate a full range of bilingual communication materials, such as speeches, press releases, presentation, executive briefing books, advertorials, annual reports etc.
  • Liaise with internal teams and external stakeholders such as Cyberport companies, industry partners and vendors to ensure the accuracy and smooth delivery of the write-ups and publications from start to end
  • Be the gate keeper of corporate PR messages 
  • Build strong working relationship with internal and external stakeholders
  • Assist in other PR assignments as required

Requirements:

  • Degree in Languages, Communications, Journalism, Translation, Creative Writing or related disciplines
  • Grade C or above in Chinese Language and English Language (Syllabus B) in HKCEE & HKALE  / Level 3 or above in Chinese Language and English Language in HKDSEE
  • With 4 – 7 years of solid experience in copywriting and translation, preferably in corporate communications with Annual Report content development experience
  • Strong communication and interpersonal skills; able to work effectively with internal and external parties at all levels
  • Good understanding of the innovation and technology landscape and related policies
  • Detail-minded, well-organised and self-driven
  • Multitasking abilities and capability to meet tight deadline
  • Excellent standards of written Chinese and English; strong writing, editing and proofreading skills
